Understanding Gift Cards and How They Work at Checkout

Gift cards are prepaid cards loaded with a specific dollar amount that you can spend at retail stores, restaurants, gas stations, and online retailers. They function similarly to cash, but the funds are limited to use at the issuing merchant or within their network. When you use a gift card at checkout, the cashier or online system scans or enters the card number, deducts the purchase amount from the card's balance, and processes your transaction just like a credit or debit card payment.

Gift cards come in two main varieties: closed-loop and open-loop. Closed-loop cards work only at a specific store or restaurant chain—for example, a Target gift card works exclusively at Target locations. Open-loop cards, typically Visa, Mastercard, or American Express gift cards, can be used anywhere those payment brands are accepted. The mechanics of each type differ slightly at checkout, which is why understanding which type you have matters.

The balance on your gift card represents actual money that the retailer holds until you spend it. This is why gift card balances don't expire in most cases, though some retailers impose expiration dates after a period of inactivity (usually 3-5 years). Federal law requires most retail gift cards to remain valid for at least five years, though some states mandate longer periods.

When you're ready to make a purchase, the checkout process treats your gift card as a tender method—the same way a store processes cash, checks, or credit cards. Modern point-of-sale systems instantly check your remaining balance and confirm whether you have enough funds to complete the purchase. This real-time verification prevents declined transactions and lets you know exactly how much credit remains on your card after each use.

Practical Takeaway: Knowing whether you have a closed-loop or open-loop gift card helps you understand where you can use it. Check the front of your card or your receipt to determine the card type, and keep your purchase receipts to track spending against your balance.

Preparing Your Gift Card Before You Shop

Before heading to a store or making an online purchase, take time to prepare your gift card for use. Start by locating the card itself and examining its physical condition. Check that the card isn't damaged, as scratched or cracked cards may not scan properly at checkout. Look at both sides of the card for any visible barcode, QR code, or card number that the system will need to read.

Next, find your gift card balance. Most retailers offer several ways to check this information. You can visit the retailer's website and use their gift card balance checker, which typically requires entering your card number and a security code found on the back of the card. Many retailers also provide balance information through their mobile apps—simply input your card details into the app's balance tracker. Another option is to call the customer service number on the back of your gift card; a representative can provide your current balance over the phone.

Recording your gift card number, expiration date (if applicable), and current balance in a safe location—such as a password-protected notes app or secure document—protects you if the physical card becomes lost or stolen. Some people photograph the back and front of their cards for their records. This information helps you file a claim with the retailer if something happens to your card before you use it.

Read any terms or conditions associated with your gift card. This information often appears on the back of the card, on your receipt, or on the retailer's website. Understanding these terms tells you whether fees apply for inactivity, what the expiration policy is, and whether you can use the card for all products the retailer sells (some gift cards exclude certain items like lottery tickets or alcohol).

Practical Takeaway: Check your gift card balance before shopping, and keep a record of your card number and current balance in a secure location. This prevents surprises at checkout and helps resolve issues quickly if problems arise.

Using Your Gift Card in Physical Retail Stores

When you're ready to pay at a physical store, you have several options for presenting your gift card at checkout. The most common method is to hand the cashier your card so they can scan the barcode. Modern checkout scanners read the barcode almost instantly, and the system immediately displays your remaining balance on the register screen. The cashier then deducts your purchase total from that balance and tells you how much credit remains after your transaction.

Some stores use self-checkout machines where you can scan your own gift card. In this case, look for a card reader area, usually near the bottom of the machine. Insert your card into the reader with the barcode facing the scanner, or hold the card near the reader if it uses contactless technology. The machine will prompt you to remove the card once it's scanned. You can then proceed through the payment process as normal, and your gift card funds will be deducted from the total purchase.

If your purchase total exceeds your gift card balance, you'll need to provide a secondary payment method for the remaining amount. For example, if your gift card has $20 remaining and your purchase totals $45, you'd use the gift card for $20 and pay the remaining $25 with a credit card, debit card, or cash. The cashier will process both payments as separate transactions during checkout, or in some cases, as a single combined transaction.

Some retailers offer the option to pay partially with a gift card and save the remaining balance for later. Other stores allow you to combine multiple gift cards for a single transaction if you're making a larger purchase. Ask your cashier about your specific store's policy if you have questions about splitting payments.

Practical Takeaway: When paying with a gift card in a store, either hand it to the cashier or use the self-checkout scanner. If your purchase exceeds your balance, be prepared with a second payment method, and don't hesitate to ask the cashier about combining multiple gift cards if needed.

Redeeming Gift Cards for Online Purchases

Using a gift card for online shopping follows a different process than in-store purchases, but remains straightforward once you understand the steps. First, add items to your online shopping cart as you normally would. When you're ready to pay, proceed to the checkout page where you'll see payment options.

Look for a section labeled "Gift Card" or "Redeem Gift Card Code" during the payment process. This location varies by retailer—some stores display it as a separate option before you select your primary payment method, while others include it as part of the payment section. Click or tap this option to reveal a field where you can enter your gift card information.

You'll typically need to enter one of two things: the card number printed on the front of your physical gift card, or a gift card code if you received a digital gift card via email. Digital gift cards usually come with a lengthy alphanumeric code that serves the same function as a physical card number. Enter this information carefully, as even one incorrect digit will cause the system to reject it.

After entering your gift card information, the system checks your balance and either applies the full amount to your order (if your purchase is less than your balance) or applies what's available and prompts you to add another payment method for the remainder. The website then displays your updated order total reflecting the gift card credit. Review this amount before completing your purchase to confirm the math is correct.

Keep your online receipt, which documents your gift card usage and remaining balance. Some retailers email this information automatically, while others require you to save it yourself. This receipt proves you used the gift card and shows your remaining balance for future purchases.

Practical Takeaway: When shopping online, enter your gift card information during checkout in the designated gift card section. Use your card number for physical cards and your code for digital cards, and verify that the system correctly calculated your new balance before completing your purchase.

Handling Common Issues and Troubleshooting

Occasionally, gift cards present challenges at checkout. One common issue is a card that won't scan or register in the system. If this happens in a store, ask the cashier to manually enter the card number from the front of the card into the register. The card number is typically a 16-digit code printed on the front. The cashier has the ability to input this information directly, which bypasses the scanning issue and allows your transaction to proceed. If you're using self-checkout, flag down a store associate who can help manually process your card.
